Minutes of the September 18 Meeting of the School of Medicine Committee on the Status of Women and Minorities

Dr. Wendy Klein opened the meeting with introduction of members and welcome.

The minutes from the June 19, 2002, meeting was accepted as written.

Dr. Klein reviewed:

The COSOWAM meeting schedule for FY '02-03 and tentative topics to be covered, per June 19 minutes.

The committee will meet in December. Topics set with minor changes follow:

October - Dr. Jim Messmer, Senior Associate Dean for Medical Education, with report on results of Medical Student Questionnaire around issues of professionalism.

November - hold for COSOWAM work session.

December - update on minority faculty and student recruitment initiatives.

January - request Paul W. Timmreck, Senior Vice President, Finance and Administration, to address space planning issues in the event state bonds for higher education are approved by the Commonwealth's citizens in 2002.

February - book Dr. Newsome to discuss salary data after analysis by Peggy Goodwin.

March - open.
-
April - review SOM women and minority representation data with new "snapshot" information added.

Dr. Joann Bodurtha updated the Committee on the Women in Medicine and Science Faculty Organization Executive Council:

The Professional Development Series calendar for 2002-03 was in answer to the needs assessment conducted last year

Some of the issues that will be discussed at the next Executive Council meeting Sept. 25 are the WIMS Newsletter, Pathways to Leadership Conference, the structure of the organization

Dr. Bodurtha also mentioned the Women in Medicine and Science Leadership Group's meeting with the Secretary of the Commonwealth, Anita Rimler, to consider opportunities for service on state boards. The VCU WIMS Leadership Group is continuing to work on increasing women in leadership positions at VCU.
Dr. Bodurtha announced everyone is welcome to attend Executive Council meetings, the 4th Wednesday each month, September - June, 4-5pm, Sanger 1-006.

Ann Setien addressed two issues: the Chair recruitment process and faculty separation data.

Chair recruitment process

EEO guidelines are the same for chair and faculty searches

Faculty are asked to serve on search committee (guidelines in SOM bylaws)

Ads are placed in major journals, faculty vacancy list, some word of mouth from chairs and faculty, also minority publications/newspaper.

All CVs submitted are reviewed

In more recent years, the Dean has appointed women and minority faculty to search committees. COSOWAM members can help the chair and faculty recruitment process along by suggesting people and advising them to apply, according to requirements of the posted position.
Dr. Klein concluded that the issues are more diversity among applicants, looking at creative ways of reaching out to increase the pool of qualified candidates, and questions to ask candidates to screen for the kind of leadership you want. Carol Hampton presented a handout to the Committee for consideration, "Suggested Questions for a Search Committee to Use - Diversity Topics" from a new AAMC publication, "The Successful Medical School Department Chairs: A Guide to Good Institutional Practice," 2002. The Committee will revisit the handout with the possibility of sending it to the Dean to include it as part of SOM chair search process.

Faculty Separation Data
Ann Setien also updated the Committee on faculty separation data for FY 2001-02 and FY 2000-01. Why faculty separate could be obtained, but another issue is how will the data be utilized to bring about the desired changes of faculty retention. The Committee discussed the accuracy of the separation data and how to obtain more succinct data. A process of polling faculty who have already left the University needs to be considered. SOM separation data show:

Data include full-time, VCU and VAMC, and part-time, VCU and VAMC.
